Electronic Building Control Applications

Mid and West Wales Fire and Rescue Service is the enforcing authority for the Regulatory Reform (Fire Safety) Order 2005 in relation to appropriate premises situated in the Service’s area. As the fire safety enforcing authority for such premises, the Service is consulted by building control bodies where such bodies are involved in checking compliance of relevant building work with the Building Regulations.

From the November 2014 the receipt of electronic building regulations is now able to be made through a hosted portal called BOX. We will still continue to accept hard copy applications for the foreseeable future and encourage early pre consultation on larger projects .The use of the portal is for formal applications only and not for pre consultations exchange.
Guidance for building control bodies

All building control bodies will be given an email address to post their application to. To ensure all relevant documentation is incorporated with the relevant application, building control bodies are required to insert your unique reference number in front of all attachments uploaded to the portal.  We would ask that only plans relevant to the fire safety element of the application are uploaded to the portal. To aid ease of identification of the plans within the portal we would ask that zipped folders containing several plans are avoided.

Approved inspectors will need to contact the business fire safety team at service headquarters to obtain contact details.

Mid & West Wales operate 6 command areas that align with our local authorities. When submitting an application, the application will be posted to the command location relevant to the works or development that is being consulted on. A map identifying the command locations is attached below; this will enable building control bodies to accurately direct the application to the correct inspection team. If there is any doubt as to the correct location contact a member of the Business fire safety team at service headquarters on 0370 60 60 699 or

The building control body will be provided with an email address and attach files to that email. It is important to note that only the attachments will be received in the portal and no other information such as subject matter or free text will be seen by the service. If all the file attachments are uploaded successfully then the building control body will get a read receipt for each attachment posted. Each command will access the BOX on a daily basis to check for applications.  If the application is received after four o’clock is deemed to have been received on the next working day, this is to comply with rules governing the receipt of electronic communication.
When an application is posted to the BOX, an email alert is posted to the inspecting officers in that location to alert them of the fact that an application has been posted.

The cover letter and any other letters relevant to the application will need to be added to the email as an attachment.

Plans can be accepted in any of the following formats-
  • DWF

Our software that will allow the use of files integrated with

All building control bodies are requested to provide a business or corporate email address on the cover sheet to allow for the service response. The service response will be provided from the command email address within 14 working days of submission.
